JOB DESCRIPTION

Staff Accountant
Reports to: Finance Director
Starting Salary: $33,000/year
FLSA Status: Exempt
Hours: Generally 8:30 a.m. to 5:30 p.m. Monday thru Friday, however hours may vary upon needs of the Organization.

Summary:
The Staff Accountant is responsible for the administration of payroll, accounts payable, accounts receivable and billing for the agency working under the supervision of the Finance Director.

Key Tasks and Responsibilities

  • Ensures timely payment of bills optimizing cash flows when possible.
  • Reviews and analyzes bills, researches any discrepancies and recommends payment.
  • Maintains vendor files, including reconciliation of vendor statements and handles payment complaints or discrepancies.
  • Prepares and enters semi-weekly payroll information, including calculations for shift differentials, holidays, vacation and sick time into payroll system in a timely manner for completion of review and delivery.
  • Prepares and enters all necessary monthly journal entries.
  • Ensures all monies received are posted to the proper GL and deposited in a timely manner.
  • Responsible for reconciling all bank and credit card accounts on a monthly basis.
  • Reviews all reimbursement requests, including petty cash, for accuracy and proper expense disclosure and classification. Reports any variances to Finance Director.
  • Responsible for the distribution and tracking of all agency credit cards, in conjunction with policy.
    • Assists Finance Director in maintaining all financial records and the general ledger on an accrual basis in compliance with generally accepted accounting principals and government standards.
  • Assists with monitoring of program budgets by preparing monthly budget reports.
  • Assists Finance Director with preparation of monthly, quarterly, semi-annual and annual financial billings and client statistics for submission to funding sources as required by contracts.
  • Assists with preparation of annual audit including all required schedules.
  • Attends all staff meetings and trainings as required and performs all other duties as assigned.
  • Ensures all appropriate documentation related to the position is organized, filed and maintained.
  • Assists with answering telephones and greeting guests as needed.
  • Ability to act as Notary for business processes.

  • Ability to adapt to changes in the work environment, manages competing demands, and deal with frequent change, delays or unexpected events. .
  • Maintains confidentiality.
  • Must have a valid current driver’s license and reliable transportation available for use throughout the workweek.

Education/Experience:

  • At a minimum must have a Bachelors degree in Accounting OR Associates degree in accounting or related field and a minimum of two (2) years experience in accounting OR 6 years experience in accounting.
  • Working knowledge of current accounting, bookkeeping, and payroll procedures.
  • Experience using QuickBooks required, Pro Premier 2007 non-profit edition preferred .
  • Proficiency in MS Excel (XP), MS Word (XP), MS Outlook (2003) and 10-key (speed and accuracy), additionally MS Access knowledge is preferred.
  • Knowledge of principals, concepts and practices of non-profit organizations preferred.
  • Bi-lingual (English/Spanish) preferred.
